Planning a Festival Gifting Program That Runs on Time

Festival gifting has a fixed deadline and a long checklist. Here is a simple planning sequence HR teams can reuse each year.

Start with the date, not the gift

Festival gifting is one of the few HR programs with a deadline you cannot move. Working backwards from the festival date is the single most useful planning habit.

Fix the delivery date first, then decide eligibility, budget and gift value. Choosing the gift before the date is what creates the familiar last-week scramble.

Decide eligibility early

Eligibility questions cause more delay than sourcing. Agree in advance how you will treat new joiners, notice-period employees, contractors and interns.

  • Employees who join before a cut-off date
  • Employees on long leave
  • Contract and third-party staff
  • Multiple locations or entities

Choose flexibility over a fixed gift

A single physical gift for a diverse workforce will always suit some people better than others. A digital gift that lets employees redeem across categories avoids the guesswork and removes shipping from the plan entirely.

Build a checklist you reuse

The value of the first program is the template it creates. Record the timeline, the eligibility rules and the communication you sent, and next year becomes a review rather than a rebuild.
